WESTSIDE TENNIS POLICY
Policy and Other Details:
Weather Policy: If a class is canceled due to rain or court conditions, we will always strive to provide as much notice as possible. We will generally conduct a Condition Assessment 60–90 minutes prior to the scheduled start time for both private lessons and clinics, unless conditions are clearly unplayable earlier. Please note that we are generally unable to provide a decision before that assessment window. If you contact us beforehand, we will not be able to offer a determination and will refer you back to this policy. Weather can change quickly, and we continuously monitor conditions. Please do not cancel on your own, no-show, or assume your class is canceled unless you receive direct confirmation from us. Unless you hear otherwise, class is on. If you decide to cancel before our court Condition Assessment, that will be considered a late cancelation. However, if the court conditions are ultimately deemed unplayable for your session, you will not be charged as a late cancelation.
Clinic Cancelation Policy: If a class is officially marked as “canceled,” we will keep a record of those signed up. Members in a canceled class should try to register for another available session. If you are unable to make up the class, please contact us. Important: If you have “unsubscribed” from our Punch Pass emails you will not receive class updates (including weather), or schedule updates.
Private/Private Group Cancelation Policy: Please give us at least 48 hours notice for private time slots. We send a friendly confirmation reminder on Thursdays because court reservations are submitted and paid in advance on Friday, the next day, for the upcoming week through the following Sunday. If you are a client and choose to cancel after that point, please understand that the court time has already been secured and paid for on your behalf. Late cancelations place us in a difficult position since we remain financially responsible for both the court and the coach. Even if the cancelation falls outside of the standard 48 hour policy, once we have passed this reservation window the customer becomes subject to the $25 court fee.
Memberships & Clinic Customer Policy: If you need to cancel yourself from the class(s) you are signed up for please do so outside of 24 hours or you will lose your credit for that class. Credits for the appropriate membership will renew on the 1st of each month. Drop-in passes expire after 90 days. Customers are responsible for all clinic reservation management. Memberships renew automatically on the 1st of every month. Please give us at least 7 days notice prior to canceling a membership.
Private/ Private Group Expiration Policy: Single lesson purchases must be used within 3 months of purchase; 3-lesson packages must be used within 1 month; 6-lesson packages must be used within 2 months; and 10-lesson packages must be used within 3 months. All lesson packages are non-refundable and expire if not used within the applicable timeframe.
